How a Migration is Perfomed.

Step-by-Step Guide to Migrating from an IMAP Server to Office 365


1. Initial Assessment and Planning

  • Evaluate Current Setup: Assess your current email system, including the number of mailboxes, total data size, and specific configurations.
  • Create a Migration Plan: Develop a comprehensive plan that includes timelines, resources, and risk management strategies.

2. Prepare Your Office 365 Environment

  • Create Office 365 Accounts: Set up user accounts in Office 365 for each employee. Ensure each account has the correct licenses and permissions.
  • Configure DNS Settings: Add the necessary DNS records to your domain name’s DNS provider to verify your domain and set up essential services like Exchange Online.

3. Update DNS Records for Mail Routing

  • Change MX Records: Update your domain’s MX records to point to Office 365. This step ensures that all new emails are delivered to your Office 365 mailboxes.
    • Log in to your DNS provider.
    • Locate the MX records section.
    • Replace existing MX records with those provided by Office 365.

4. Set Up IMAP Migration Endpoints

  • Create Migration Endpoints: In the Office 365 admin center, set up IMAP migration endpoints. These endpoints will connect Office 365 to your current IMAP server.
    • Go to the Exchange admin center (EAC).
    • Navigate to Recipients > Migration > More > Migration endpoints.
    • Click New and choose IMAP.
    • Enter the details of your IMAP server and test the connection.

5. Create a Migration Batch

  • Prepare a CSV File: Create a CSV file containing the details of the mailboxes to be migrated. This file should include the user’s email address, username, and password for the IMAP server.
  • Create the Batch: In the EAC, go to Recipients > Migration and click New. Select Migrate to Exchange Online and choose IMAP migration. Upload your CSV file and configure the migration settings.

6. Start the Migration

  • Initiate the Batch: Start the migration batch. Office 365 will begin copying emails from the IMAP server to the corresponding Office 365 mailboxes. This process might take some time, depending on the amount of data.
  • Monitor the Migration: Track the progress of the migration batch in the EAC. Ensure all mailboxes are being migrated without issues.

7. Finalize the Migration

  • Perform a Delta Migration: After the initial migration, perform a delta migration to copy any new or changed items that were missed during the initial migration.
  • Verify Data Integrity: Check that all emails, folders, contacts, and calendar items have been successfully migrated and are accessible in Office 365.

8. Configure Outlook and Mobile Devices

  • Reconfigure Email Clients: Assist your users in configuring their Outlook and mobile devices to connect to their new Office 365 accounts. Provide necessary documentation and support.
    • Open Outlook.
    • Navigate to File > Account Settings > Account Settings.
    • Add a new account using the Office 365 email address and password.

10. Decommission Old IMAP Server

  • Finalize the Transition: After verifying that all data has been successfully migrated and is functioning correctly, decommission the old IMAP server.
  • Archive Old Data: Keep a backup of the old server data for a specified period, as a precaution.

11. Setup Backups 

  • Backups: Make sure the mailboxes, Sharepoint and One Drives are all backed up
  • Backup Access: Setup designated backup access to client for quick restores.
